BASIC FUNCTION:
  • To assist and coordinate a wide variety of clerical and administrative support for the Director of Sales and Sales Managers.
  • A thorough understanding of current technologies as related to business and computer software applications is a must.
  • This position requires the ability to maintain an upbeat, professional manner in a busy office atmosphere.

    ESSENTIAL FUNCTIONS:
  • Answer telephone for Sales and Catering main lines and the qualifying of inquiry phone calls for proper distribution to the correct sales manager.
  • Distribute leads from phone inquiries and maintain a log.
  • Receive and distribute all leisure/ corporate travel/ golf/ catering/ wedding/ group email leads.
  • Enter all new leads, contacts, and accounts in the Delphi system with quality and accuracy.
    • Maintain integrity of Delphi Systems for property.
  • Process, audit, and route countersigned contracts daily.
    • Generate Daily Bookings Report & Weekly Dashboard Report.
    • Assist in the preparation and presentation of business proposals and contracts.
  • Complete and distribute amenity request forms.
  • Prepare guestrooms for site tours and for VIP guests.
  • Support the sales team with administrative tasks.
  • Sync Market Segments, rates, and cutoff dates in Delphi with OnQ Group Codes of current bookings.
  • Distribute department mail, make copies, prepare Sales & Catering packets, distribute invoices, and send packages.
  • Conduct all department orders for supplies.
  • Ensure all sales documents are up to date and distributed in all channels.
    • Manage and maintain weekly/monthly reporting.
    • Implement and distribute contracted minimum work sheets.
    • Create new reports from Delphi as needed, so knowledge of Delphi reporting is key.
EDUCATION, KNOWLEDGE, TRAINING & WORK EXPERIENCE:
  • Computer literate with Microsoft Office and Excel spreadsheet knowledge is important, along with an understanding of Gmail, Meeting Broker, and Cvent software applications.
  • Understanding of professional business communications.
  • Ability to systematically investigate group characteristics, contacts, and history.
  • College degree in Hotel Management or related field is desirable.

QUALIFICATIONS:
  • Must be professional in appearance.
  • Must be capable of and willing to present to public groups.
  • Analytical and detail-oriented with proven ability to meet deadlines, prioritize, and perform a wide variety of tasks over the course of the workday.
  • Must have an understanding of in-house reporting in order to track business trends and booking activities.
  • Proactive self-starter; strong sense of urgency.
  • Must be proficient in Delphi, Excel, and other programs used daily.
  • Must be able to communicate well with all levels of management, staff, business community, VIPs, etc.
  • Must be discreet and trustworthy with confidential information and handle difficult inquiries with finesse.
